RoundPro + GoCardless
Direct Debits that carry on when you switch
Connect your GoCardless account to RoundPro and your customers’ Direct Debits come with you, whether they were set up in Squeegee, Cleaner Planner or any other app. Nobody has to fill in a form again. RoundPro collects after every clean, and the money goes into your bank account as it does now.
Keep every Direct Debit
Existing mandates stay in your GoCardless account. RoundPro matches them to your customers.
Collected after each clean
Invoices are collected automatically the evening of the clean. No chasing.
New customers sign up in seconds
When someone accepts a quote, they can set up a Direct Debit there and then.
You stay in control
It's your GoCardless account. Payouts, fees and your customers' mandates stay yours.
1. Connect your GoCardless account
You need to be the owner or a manager in RoundPro.
- 1
Open Settings › Payments
Scroll to Direct Debits in GoCardless. - 2
Choose how to connect
Connect my GoCardless account if you already have one (sign in with the details you use now). New to GoCardless? Create an account if you don’t. GoCardless opens with your details filled in. - 3
Allow RoundPro access
GoCardless asks you to let RoundPro manage payments on your behalf. Accept, and you're brought straight back to RoundPro. - 4
Finish verifying (new accounts)
GoCardless checks new businesses before they can collect. If it needs more details, RoundPro shows a Finish verifying with GoCardless button. Until you’re verified, RoundPro waits and starts collecting automatically once you are.
2. Bring your existing Direct Debits over
First, stop collecting in your old app
If your old app still collects from these Direct Debits, customers could be charged twice. Turn off its automatic payments, or disconnect GoCardless there, before you link them in RoundPro.
- 1
Open Match Direct Debits
In Settings › Payments, tap Match Direct Debits to customers. You’ll see every active Direct Debit in your GoCardless account that isn’t linked yet. - 2
Check the suggested matches
RoundPro matches each one to a customer by email address, then by name and postcode. Those are marked Same email or Same name and postcode and already ticked. Ones marked Probably — check aren’t ticked: check them first. - 3
Fix any that are wrong
Start typing a customer's name to pick the right one, and tick it. Leave anything you're not sure about unticked. It'll still be there next time. - 4
Tap Link the ticked ones
Those customers now pay automatically by Direct Debit. Only cleans invoiced from now on are collected. Anything they already owe stays as it is.
3. New customers setting up a Direct Debit
Once you’re connected, new Direct Debits are set up in your GoCardless account through GoCardless’s own secure pages. Customers are offered it:
- when they accept a quote for regular cleaning
- in their customer portal, under how they pay
- from a payment-details link you send them from their customer page
They enter their bank details with GoCardless (RoundPro never sees them), and the customer shows as paying by Direct Debit with the last digits of their account.
If they already owe you something, they can pay it by bank in the same step (Pay by bank and Direct Debit together), so you’re paid for past cleans straight away and the Direct Debit takes care of the rest.
4. How payments are collected
- The evening of each clean, RoundPro asks GoCardless to collect that invoice from the customer’s Direct Debit.
- The invoice shows Collecting until the money arrives (usually a few working days), then Paid.
- GoCardless pays it into your bank account on its usual payout schedule.
- GoCardless collects payments from £1 to £5,000. Anything under £1 isn’t collected, and you’re told why.
- Pay by bank: customers who aren’t on Direct Debit can pay an invoice straight from their banking app (a one-off or end-of-tenancy clean, say). It’s confirmed in minutes and paid out by GoCardless like any other payment. You can switch it off in Settings › Payments.
- Costs: just GoCardless’s own fee, taken from each payment. RoundPro adds nothing on top.
5. When a payment doesn't go through
- Payment failed (for example, not enough money in the account): the invoice goes back to unpaid, you get a notification with the reason, and the customer is emailed a link to pay another way.
- Retried automatically: turn on GoCardless’s Success+ and payments that fail for lack of funds are tried again on a day they’re more likely to work. RoundPro shows the retry date and doesn’t ask the customer to pay until the retries are over.
- Payment taken back (a bank claim or reversal): you’re notified so you can sort it out with the customer.
- Direct Debit cancelled by the customer or their bank: you’re notified, and their cleans are invoiced as normal from then on.
- Paid twice (the invoice was already paid another way): you’re told to refund it in GoCardless.
Refunds: on an invoice, tap Refund through GoCardless on a Direct Debit or bank payment and choose how much to give back. You can cancel the invoice at the same time if they don’t owe it. The refund comes out of your GoCardless balance, and the invoice updates straight away. If the refund fails, the payment goes back as received and you’re told.
All of these appear in your RoundPro notifications and, if you’ve turned them on, as phone notifications.
6. Disconnecting
In Settings › Payments, tap Disconnect. RoundPro stops collecting straight away. Your Direct Debits stay in your GoCardless account, and connecting again picks them back up. You can also remove RoundPro’s access from inside GoCardless, and RoundPro will notice and tell you.
Removing a customer’s Direct Debit in RoundPro (on their customer page) cancels it in GoCardless too.
7. Questions
- Do my customers need to do anything when I switch?
- No. Their Direct Debit stays exactly as it is in your GoCardless account. Only the app asking for payments changes.
- Can I use GoCardless and card payments together?
- Yes. Customers can pay by card through Stripe and by Direct Debit through GoCardless. Each customer has one automatic payment method.
- Does RoundPro see my customers' bank details?
- No. Bank details are entered with and held by GoCardless. RoundPro only keeps a reference to the Direct Debit and the last digits of the account.
- Can I connect a GoCardless account another RoundPro business uses?
- No. Each GoCardless account can be connected to one RoundPro business.
