Terms and conditions
Last updated 7 October 2026
The short version
RoundPro helps you run your round, but you stay in charge of your business. Keep your own backups and check your schedule — we aren’t responsible if data is lost or a schedule is wrong or lost. The full terms below are what count.
1. Who we are
- 1.1RoundPro is run by Cleanlynk Ltd, a company registered in England and Wales (company number 16187747), whose registered office is Unit 2 Trench Lock 3, Telford, Shropshire, TF1 5ST ("we", "us"). These terms are between us and the business that signs up ("you").
- 1.2By ticking the box when you sign up, or by using RoundPro, you agree to these terms on behalf of your business. If you don't agree, please don't use RoundPro.
- 1.3RoundPro is for businesses, not consumers. You confirm you're using it for your business and that you're allowed to agree to these terms for it.
2. Your account
- 2.1Keep your sign-in details private. You're responsible for everything done through your account, including by team members you add and the permissions you give them.
- 2.2Tell us straight away at info@cleanlynk.co.uk if you think someone has got into your account.
3. Your data and backupsPlease read
- 3.1Your records stay yours. You can download them at any time from Settings → Backups, and we keep regular copies of our systems.
- 3.2No system is perfect. Data can be lost, damaged or become unavailable — for example through a technical fault, a failure at one of our suppliers, a mistake, an attack or something outside our control. We take reasonable care to prevent this, but we can't promise it will never happen.
- 3.3You're responsible for keeping your own up-to-date copy of anything important to your business. Download a backup regularly (or turn on the weekly backup email) and keep it somewhere safe.
- 3.4To the fullest extent the law allows, we aren't responsible for any loss, damage or corruption of your data, or for any losses that follow from it — including the cost of recreating records, lost income or lost customers. If something does go wrong we'll do what we reasonably can to help you restore it from your backups or ours.
4. Your schedulePlease read
- 4.1RoundPro works out your schedule, routes, reminders and due dates from the information you and your team put in. It's a tool to help you run your round, not a guarantee of where you need to be.
- 4.2Schedules can end up wrong, changed or lost — for example through incorrect details, settings, edits by team members, phones being offline, syncing problems, software faults or loss of data.
- 4.3Check your schedule before you set off, and keep track of what matters to your business. You remain responsible for turning up for your customers and for the work you've agreed to do.
- 4.4To the fullest extent the law allows, we aren't responsible for missed, late, duplicated or wrongly scheduled jobs, or for a schedule that's wrong or lost, or for any losses that follow — including lost income, unpaid work, complaints or lost customers.
5. Messages, payments and other services
- 5.1Texts, emails, card payments, maps, weather, address look-ups, what3words, Xero and bank feeds are provided with the help of other companies. We can't guarantee that any message is delivered, that any payment goes through, or that these services are always available or accurate.
- 5.2You're responsible for what you send and who you send it to. Only send marketing messages to people who have agreed to receive them, and follow UK data protection and marketing law (UK GDPR and PECR).
- 5.3Card and Direct Debit payments from your customers are handled by Stripe under Stripe's own terms. Payments go straight to your Stripe account, not through us.
6. Connecting other systems (the API)
- 6.1If your plan includes it, you can make API keys in Settings → API & integrations, or connect an app by signing in to RoundPro from it, to let other systems — a CRM such as GoHighLevel, an automation service such as Zapier, an AI assistant, or software you or someone else writes — read and change your RoundPro records, and you can add webhooks so RoundPro sends updates about your records to an address you choose. You choose what each key can do and what each webhook is sent.
- 6.2A connected system acts for you: anything done with one of your keys is treated as done by your business, and anything sent to a webhook address you add is sent on your instruction. Only connect systems you trust, give each key only the permissions it needs, keep keys and signing secrets private, and revoke or delete any you no longer use or think someone else may have seen.
- 6.3Leads and automatic quotes: if you send RoundPro enquiries (leads) and switch on automatic quoting or thank-you messages in Settings → Price list & leads, RoundPro texts or emails those people on your behalf, at the prices on your price list. You're responsible for having a lawful reason to contact them (for example, that they asked you for a quote), for your price list being right, and for honouring quotes sent from it — check your prices before switching automatic quoting on.
- 6.4The AI assistant: if you switch it on, an AI talks with your leads on Facebook Messenger and by email on your behalf, using only your price list and what you write about your business, and hands anything else to you. It can make mistakes, so keep what you write accurate and look over conversations in Leads; you're responsible for what's sent on your behalf, and for honouring quotes sent from your price list.
- 6.5Facebook Messenger: if you connect your Facebook Page, you confirm you're allowed to, and you're responsible for following Meta's terms and policies for your Page and its messages. RoundPro only uses the Page to receive and answer messages; you can disconnect it at any time.
- 6.6Connected systems are run by other companies under their own terms and privacy policies. When you connect one, you choose to share your records with it, including your customers' details, and you're responsible for having a lawful reason to do so and any agreement you need with that company. They aren't our suppliers, and we aren't responsible for what they do with your information or for changes they make to your records.
- 6.7Changes made through the API are logged, and most can be undone from Settings → API & integrations, but we can't promise every change can be reversed. Keep your own backups.
- 6.8We may limit or suspend API access to protect RoundPro or other businesses, and may revoke keys we believe have been misused or exposed. We'll give at least 6 months' notice before changing the API in a way that would stop an existing connection working, unless we have to act sooner to keep RoundPro secure.
7. Your customers' personal data
- 7.1For the details of your customers that you keep in RoundPro, you're the data controller and we process them on your behalf, only to provide RoundPro.
- 7.2You're responsible for having a lawful reason to hold your customers' details and for telling them how you use them. We keep their details secure, only let our suppliers use them to run RoundPro, and help you if a customer asks to see or delete their information.
- 7.3The data processing terms in our privacy policy (roundpro.app/privacy) are part of these terms. They set out how we look after your customers' and team's details for you, and list the suppliers we use.
8. Plans, prices and payment
- 8.1New businesses get a free trial. After that you can choose a paid plan, or the free plan if you qualify (one person, up to 100 customers). Prices are shown on our website and in the app, and are plus VAT.
- 8.2Paid plans are billed monthly or yearly in advance by card, and renew automatically until you cancel. You can cancel at any time from Plan & billing; your plan then runs to the end of the period you've paid for. We don't refund part-used periods.
- 8.3Text and look-up credits you buy aren't refundable. Texts included with a plan are for that month only and don't carry over.
- 8.4We may change our prices. We'll give you at least 30 days' notice by email before a change affects you.
- 8.5If a payment fails and isn't sorted out, we may limit your account to read-only until it is.
9. Fair use
- 9.1Don't use RoundPro for anything unlawful, to send spam, to harass anyone, or to try to break, overload, copy or get around the security of the service.
- 9.2We may suspend or close an account that breaks these terms. Where we reasonably can, we'll warn you first and give you the chance to download your data.
10. Availability and changes
- 10.1We aim to keep RoundPro running and improving, but it's provided "as is". We don't promise that it will always be available, free of faults or suitable for every business.
- 10.2We may change, add or remove features. If we ever stop running RoundPro, we'll give you at least 60 days' notice so you can download your records.
11. Limits on our responsibilityPlease read
- 11.1Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to limit.
- 11.2Otherwise, we aren't responsible for any loss of profit, income, business, customers, goodwill or data, or for any indirect or consequential loss, however it arises.
- 11.3Our total responsibility to you for anything to do with RoundPro is limited to the amount you've paid us for it in the 12 months before the problem arose (or £100 if that's more).
12. Closing your account
- 12.1You can close your account at any time (Settings → Account & team). Everything stops straight away: your plan is cancelled, with no refund for time already paid for, and nothing more is sent to your customers.
- 12.290 days after an account is closed, all its records are deleted for good, and they can't be got back. Until then the owner can sign in to download a backup or reopen it. We'll email a month and a week before.
- 12.3We may also close an account under "Fair use" above. The same 90 days apply.
13. Changes to these terms
- 13.1We may update these terms from time to time. We'll tell you by email or in the app before important changes take effect. If you keep using RoundPro after that, you're agreeing to the new terms.
14. The law
- 14.1These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any disputes.
